Lease Administrator

Reports to: Chief Development Officer
Background Required: 5+ years of work experience in commercial lease administration with the experience/ability to manage a 600+ retail store portfolio

The Lease Administrator will work closely with acquisitions, operations, facilities, and accounting to manage lease obligations, notices, landlord communications, and support diligence for new store growth. This role is responsible for quality assurance of lease records in Sun Auto systems. This position will be an integral player on the team as it serves as the central resource for issue management and lease administration, and data management.
KEY RESPONSIBILITIES
Monitor the lease mailbox and manage property issues via direct resolution or coordination with internal departments. Serve as point of contact for all lease related issues.
Review and approve monthly lease payables and release approved files to accounting for execution.
Audit lease agreements for compliance with occupancy charges, key dates and notice deadlines.
Prepare recommendations for renewals and terminations based upon store performance, strategic term, and rent expense.
Coordinate lease modifications and amendments with real estate and legal teams.
Review and maintain all lease and occupancy documents in the lease management systems.
For acquisitions and new construction, review and abstract critical details and propose modifications as necessary for occupancy control.
Recommend & implement new approaches and procedures to drive continuous process improvements.
EDUCATION & ADDITIONAL ELIGIBILITY QUALIFICATIONS
A bachelor’s degree in business, finance/real estate, accounting is preferred
5+ years work experience in commercial lease administration
Ability to manage 600+ store portfolio
Experience using Visual Lease, CoStar or another lease administration software is required

Read and understand store level P&Ls

Proficiency with MS Office Suite (MS Word, Excel and PowerPoint) & lease administration software
